The Oversight Board Support Team is responsible for supporting the governance, logistical and administrative functions of the Oversight Board Members. The Senior Board Member Support Officer will play a crucial and collaborative role within the team.

About the Oversight Board

The Oversight Board is a new body that will make binding and independent decisions about the most challenging content issues on Facebook and Instagram. The first members of the Board were announced in May 2020 and include Helle Thorning-Schmidt, former Prime Minister of Denmark, Tawakkol Karman, Nobel Peace Prize winner, Michael McConnell, Director of Stanford’s Constitutional Law Center, and many other diverse leaders and thinkers from around the world. The Board began accepting cases in October 2020.

The Oversight Board Administration is the team of full-time staff who support Board Members in carrying out their duties. The Administration will have offices in London, San Francisco and Washington, D.C., and operate with a global scope.

Role

As Senior Board Member Support Officer, you will provide deputy level support to the Head of Board Member Support team whilst working collaboratively with other team members across the organisation and with external vendors to deliver excellent support to Board Members around the globe. You will support on driving strategic priorities for the Board Member Support team, focusing on optimizing team processes and ensuring operational effectiveness of the team. You will monitor information flow between stakeholder meetings, acting as a connector, ensuring the Head of Board Member Support team’s involvement in project and/or decision making when required. The role will also provide broad support including complex diary management, travel and accommodation arrangements, and drafting, preparing, and arranging materials/documents on behalf of Board Members. You will be responsible for organising, planning and running internal and external Board meetings and events and for managing critical vendor relationships.

We are searching for candidates with prior experience supporting senior executives in a multinational, fast-paced context, delivering excellent support while building strong stakeholder relationships with Board Members and with colleagues at all levels within the organisation. 

Responsibilities will include but not be limited to:

  • Coordinating, contributing to, attending and presenting at plenary, Board, Committee, Trustee and/or other meetings and acting as a main point of communication between stakeholders.
  • Organising, planning and running high-level internal and external board meetings and events, and engaging with external vendors as needed.
  • Drafting and reviewing briefing papers, meeting minutes, producing board packs and other written/information materials.
  • Undertaking research as required to support recommendations to the Board.
  • Project managing Board Member support and membership team project and process workflows. Develop solutions and recommend proposals, leading on the delivery of improved and/or new team projects.
  • Establishing corporate governance frameworks by developing and implementing processes to promote and sustain best practice governance for the Oversight Board members.
  • Ensuring appropriate compliance with Bylaws as they relate to Code of Conduct and Board Contracts.
  • Support Oversight Board Membership Committee and other Committees within the organization.
  • Support with Board Member on-boarding and continued training.
  • Providing day-to-day support relating to complex event/meeting management, travel, accommodation, venue arrangements, translation requirements, financial reimbursements and other support as needed for Board Members.
  • Supporting wider initiatives in the team and Oversight Board.

Skills, Competencies and Experience

  • Strong experience supporting and working with senior executives and/or boards in a fast-moving, international environment.
  • Exceptional written and oral communication skills
  • Strong attention to detail
  • Proven event management experience necessary to support functional and company-wide events/conferences
  • Effective at negotiating with and influencing stakeholders and colleagues across multiple levels of an organisation, to achieve optimum results and outcomes
  • Knowledge of governance frameworks and their compliance
  • Extensive project management experience working with cross-functions teams and stakeholders.
  • An interest in content moderation, trust and safety, free expression, human rights and/or technology policy.
  • An ability to think strategically and creatively, applying strong analytical and problem solving skills driving issues to resolution
  • A flexible mindset and ability to work in a fast-moving environment
  • Excellent range of IT skills with advanced knowledge of Microsoft Office
  • Knowledge of multiple languages is highly desirable
